Once you click on the 'Complete' button the form will open in a 'pop' window ready for completion. Work through the questions and follow any instructions as outlined in the form.
Most forms are self explanatory in their completion, and there are a number of icons that are available on some forms.
- Mandatory Fields - this is shown by an Asterix '*' and must be completed in order to submit a form.
- Additional Help - the '?' icon when clicked provides assistance in relation to what the question is asking.
Some responses when clicked will require additional fields to be completed.
When submitting the form, there will be specific instructions on choosing the relevant status which will depend on where you are at in completing the form.
You will receive an error message if you try to submit a form without completing all the required information.
Please note when this occurs any attachments will also be removed.
To see where you have missed completing a field, scroll down the page and see where it is indicated you didn't complete a field.
Complete the required fields and reattach any documentation.
The Form Confirmation page will indicate that the form has been saved successfully.
This page provides the following information/features:
- Form Reference Number - also known as the Form ID.
- Ability to Print or Email the form by clicking on the relevant icon.
- Attach any files such as documents, emails or certificates as additional supporting material for the form.
If you have an approval process configured, you may be included in the approval process. You will receive an 'Approvals Management Notification' which will look similar to the below.
To review the form, click on the link which you either take you directly to the form, or as you to log on.
Review the information, enter your name in the 'Full name of person reviewing application' section, and then select the relevant approval option in the 'Approval Signoff' section.
Approval Options
- Approve
- The form will move to the next step configured.
- If configured, the Originator (submitter) will automatically receive an email to the advise them that the form has been approved.
- An 'Approvals Management Notification' email will be sent, and the form will appear in the approver's 'To Do' widget with a status of 'Active'
- If this is the final approval step, then the form will be automatically finalised.
- Reject and return to Originator for changes/further information
- The form is rejected and returned back to the Originator (submitter).
- An email will be sent to the Originator and it will also appear in their 'To Do' widget with a status of draft'.
- Reject and cancel
- The form is rejected.
- The Originator is notified that the submission has been rejected and the form is finalised.
- Save updates only
- The form will remain on the Approvers 'To Do' widget with a status of Active.
- The form will remain on the Approvers 'To Do' widget with a status of Active.
