When a competency is linked to a related form, you can send a link to people to complete and provide evidence of the competency.
This link can be sent several ways:
- From the Competencies page: This will send the link for that specific competency to any individual who requires it (e.g., it has not been provided or has expired).
- From the People page: Under a person's details, go to the Competency tab.
- Via Email Notifications: If configured, expiry notifications will be sent to individuals as their competencies become due.
Note:
- Competencies must be updated from the employee's My ERM page. Completing the form alone will not update their competency status.
- The individual does not need to be set up as a User in ERM to receive competency links; they only need to be set up in People Central. See Managing Employee Lists.
The following provides additional information on how competencies can be updated.
Sending Link from Competencies Page
- Click on Competencies in People Central.
- Select the relevant competency.
- Go to the 'Employees' tab.
- Click 'Send Dashboard Link to Employees with Expired Skill'. (This will also send the link to any individual listed under the Gaps tab.)
- A Notification will display a list of employees from both the 'Employees' and 'Gaps' tabs, along with their email addresses. You can uncheck any individuals if needed before sending the link.
- Once ready, click 'Send Now'. The notifications will be queued to send, which helps manage the process if a large number of emails are being sent.
Sending Link from People Details page
- Search for and select the person.
- Go to the Competencies tab.
- Click Send Dashboard Link.
- A confirmation message will appear indicating that the link has been sent.
Email advising of expiring competency
- If configured, individuals will receive an email notification when their competency is about to expire, prompting them to update it.
The notification is sent based on the number of days specified during setup (e.g., 30 or 60 days before expiration).

User Experience
The individual will receive an email with a link directing them to their 'My ERM' page.
Dashboard Link - ERM User Profile
If the person is linked to an ERM User Profile the link will take them to their My ERM page. This will happen either directly if Single Sign-On (SSO) is enabled, or after they log into ERM.
Dashboard Link - No ERM User Profile
If the individual is not linked to an ERM User Profile (e.g., a volunteer), the link will direct them to the ERM page. From there, they can access links to complete the necessary inductions and view the competencies required for their position.
Please note these individuals will only be able to access their ERM User Profile from the link provided in any emails. sent.
